Information you choose to provide
The contact form may collect your name, email address, phone number, company, industry, message, and basic referral or campaign information. The AI receptionist may process chat messages, voice audio, transcripts, contact details, and conversation summaries when you choose to use it.
How information is used
Information is used to answer requests, evaluate whether SuncoastOps may be a fit, operate and secure the website, troubleshoot problems, and improve the service. SuncoastOps does not sell contact-form or receptionist lead information.
Service providers
The website and AI receptionist may use WordPress and Rocket.net hosting, Cloudflare delivery and security services, Vapi communications infrastructure, OpenAI language processing, ElevenLabs voice generation, and Deepgram transcription. Those providers process information under their own terms and privacy practices.
Analytics and attribution
The site uses Google Analytics 4 to measure page views, traffic sources, general interactions, and lead-conversion events. Google Analytics may use cookies and process device, browser, approximate-location, and interaction data under Google's privacy practices. Advertising storage, advertising personalization, and Google Signals are disabled in the site's Google tag. The contact form also records landing-page and campaign parameters so SuncoastOps can understand how an inquiry arrived. Names, email addresses, phone numbers, messages, and AI-receptionist transcripts are not intentionally sent to Google Analytics.
Retention and security
Contact submissions are stored in a restricted WordPress lead inbox and may also be delivered to configured notification or workflow systems. Records are retained only as long as reasonably needed for the request, business records, security, and applicable obligations. No internet transmission or storage system can be guaranteed completely secure.
Your choices
You may choose not to use the AI receptionist and use the contact form instead. You may request access, correction, or deletion of contact information by submitting a request through the contact form. SuncoastOps may retain limited information when required for security, legal, or legitimate business records.
Do not send sensitive information
Do not submit passwords, API keys, payment-card details, government identifiers, medical information, privileged legal material, confidential client records, or other sensitive data through the public form or AI receptionist.

This notice may change as the site and its vendors change. The date at the top identifies the current published version.
